Tropic Petroleum is a locally owned and operated business with strong ties to our local region. Distributing fuel in North Queensland since 1968, Tropic is the only independent family owned petroleum distribution company left in North Queensland. Tropic supply high-quality fuels and lubricants and is Northern and Western Queensland's authorized Ampol Distributor. Additionally, we also Operate many service stations throughout Northern and Western Queensland.
About the role
Administration - Distribution Division:
Based at our Hubert Street Depot at South Townsville, this role supports all aspects of the company's distribution support functions including taking phone orders and the accurate and timely processing of fuel and lube invoices for customers through to daily reconciliation of fuel. The role is a permanent full time position.
Ordinary hours of work are 38 hour week, between:
• 8.00am – 4.30pm – Monday.
• 8.00am – 4.00pm – Tuesday to Friday.
Or
• 8.30am – 5.00pm – Monday.
• 8.30am – 4.30pm – Tuesday to Friday.
Ordinary hours of work may vary from the above from time to time depending on the operational requirements of the business and other staff on leave .
Key responsibilities:
- Answering the phone and processing a high volume of customer orders and quires.
- General office duties, phones, emails, scanning, printing, checking off paperwork, data entry, use of Microsoft office, filing.
- Creating delivery dockets, invoices and taking credit card payments.
- Processing bulk fuel and deliveries for offsite depots – Cairns, Winton and Longreach.
- Entering bulk fuel and balancing/ Stock transfers between sites.
- Checking off the general ledger and filing invoices/ dockets.
- Greeting walking customers and quires.
- Follow up outstanding delivery dockets and payment.
- Provide cover for staff who are on leave.
Skills and experience
- Driver License (mandatory).
- Proficient with Microsoft Outlook (mandatory).
- Accurate data processing skills.
- Above average and previous experience using Microsoft Office and Excel.
- Strong communication skills & pleasant phone manner.
- Ability to liaise with customers both internal and external.
- Previous experience in a administrative.
- Previous experience in Transport/ fuel industry highly desirable
- Strong attention to detail, dependable and great work ethic.
