Professional Training Solutions is a local Registered Training Orginisation that is expanding

We service clientele locally and throughout Queensland providing the training of Machinery, Industry Short courses, and High-Risk Licences to our clients in the Mining, Retail, Warehousing and Civil construction sectors.

We are currently seeking a full time office administrator and receptionist in our Townsville training office for an immediate start.

Acting as the first point of contact for our company, you will provide exceptional customer service to all our internal and external clients and their enquiries. We are seeking an experienced, reliable, enthusiastic, and well-presented administration officer with excellent customer service abilities to provide administrative support services to our training team and clients.

This role includes but is not limited to:

  • First point of contact for phone calls and emails where you will provide great general advice and information on our company training services.
  • Professionally and enthusiastically welcoming all visitors and clients to the business and efficiently assisting them with things such as enquiries, sign-in procedures, course enrolments etc.
  • Data entry, filing, collating, photocopying, scanning, emailing organising etc.
  • Administration support to the training team and other team members including mail, filing, ordering office supplies and other general office duties as they arise.
  • Maintenance of basic records
  • Maintain facilities by ensuring all public areas are clean and tidy
  • Responsible for ordering supplies, including general office stationery
  • Present a professional image of Professional Training Solutions
  • An ability to ensure the safety of co-workers by adopting safe working practices and compliance with WH&S policies and procedures
  • File documents, remove inactive files, categorise files, prepare new files, and maintain filing system
  • Take course bookings and enquiries and enter them into the Student management system.
  • Quoting and invoicing
  • Scheduling and booking of work, arranging routine travel bookings and itineraries, making appointments.
  • Trainer/assessor liaison and support

  • Excellent organisational skills with demonstrated ability work interdependently, to multi-task, as well as be able to plan and prioritise work according to strict deadline.

  • Strong interpersonal skills
  • Demonstrated ability to work well within a flexible team or independently as required and be proactive where necessary.
  • Flexibility and willingness to undertake a range of office tasks.
  • Willingness to undertake new things and learn new tasks as required.
  • Demonstrated computer skills and experience in working with Microsoft office (including Word, PowerPoint, Publisher and Outlook) email and the internet.
  • Research skills to the level required to maintain knowledge of current VET issues, courses etc.
  • Demonstrated office equipment skills and experience in working with printers and photocopiers, binders, internet phones, data projectors, computers, presentation screens and other office related equipment.
  • Certificate III in Business Administration or higher.

The successful applicant would be beneficial to have:

  • Experience within a Training, Mining, Civil Construction safety or WHS industry is highly beneficial.
  • Experience with Axcelerate Student Management System would be highly beneficial.
  • Knowledge and or experience with accounting programs would be highly beneficial.
  • Knowledge, understanding and commitment to the Standards for Registered Training Organisations 2015.
  • Demonstrated experience in vocational education and training.
  • Demonstrated knowledge of and understanding of the function of Training Packages.
  • Working knowledge of the role of ASQA, and other relevant industry governing bodies.
