Primary objective
Provide high-level administrative support to the Senior Director and Emergency Management, Infrastructure and Safety work unit.
Context statement
The Emergency Management, Infrastructure and Safety (EMIS) work unit sits within the School Support division of the department. EMIS
provides essential strategic and functional support across the agency ensuring key, critical Emergency Management, Infrastructure and
Safety requirements and service is met for the department and within the context of the broader Northern Territory and Australian
Government legislative requirements.
Key duties and responsibilities
1. Ensure a professional and efficient approach to the management of services to Executive at all times.
- Provide secretariat and administrative support to the Senior Director, including processing all incoming and outgoing
correspondence, maintaining records, initiating follow up action to ensure that deadlines are met, drafting correspondence, filing,
screening telephone calls and visitors, scheduling appointments and meetings, compiling and distributing meeting papers and making
travel arrangements.
- Liaise effectively with all levels of staff within the department, external agencies and outside organisations, to assist in the smooth
day to day operations of the department's activities.
Carry out projects, research issues and provide other assistance to Executive as required.
Other duties as delegated by line management.
Selection criteria
Essential
1. Proven successful experience in providing effective administrative support at the executive level, including the ability to be discreet,
maintain confidentiality and discern sensitive issues.
- Prior experience operating in a fast-paced environment with strong organisational and time management skills. Demonstrated ability
to prioritise tasks, work independently with minimal supervision and work under pressure.
3. High level of motivation and ability to monitor and meet changing priorities and deadlines.
- Sound knowledge in computer systems, records management and major business systems, or the ability to obtain quickly.
- Well-developed interpersonal, oral and written communication skills, with a demonstrated ability to communicate professionally and
effectively at all levels and with people from diverse backgrounds.
6. Proven ability to participate as part of a team and work collaboratively in the EMIS team to achieve results as an effective unit.
Desirable
1. Knowledge of standard format of correspondence i.e.: letters, Ministerial, Cabinet Submissions, etc.
Knowledge of the functions and responsibilities of the Department of Education.
Experience with Content Manager (TRM) and Travel Request Information Processing System (TRIPS).
