Objective

To manage day-to-day office operations and administrative tasks, ensuring smooth coordination of job data, correspondence, and documentation across internal systems and external portals.

Key Responsibilities

· Enter new jobs into our internal system and book site visits and coordinate estimators or supervisors.

· Respond to queries and escalate issues as needed.

· Liaise with insurers, strata managers, and clients regarding claims including external portals (Endata & Wilbur).

· Prepare and submit excess invoices, contracts, variations and other supporting documentation.

· Provide support to the directors, estimators and supervisors.

· Track claim progress and update internal systems.

· Ensure compliance with claims procedures and documentation standards.

· Administer job contracts and issue invoices for new jobs as required.

· Action all incoming email to ensure all mail/incoming calls are answered and actioned quickly.

· Assist with entering of scope of works as required and assist with following up on estimates sent.

· Assist with procurement of supplies.

· Oversee upload of documents to OneDrive per job for back up.

· Upload receipts and supplier invoices via MYOB capture app or directly in MYOB.

· Oversee the onboarding of trades and ensure the approval process is completed correctly.

· Answer calls and transfer to the relevant person.


Skills and Experience:
  • Minimum 2 years administration experience, preferably in insurance or construction
  • Understanding of insurance claims processes and strata management (highly regarded)
  • Strong data entry skills with high attention to detail
  • Experience with Prime Ecosystem software
  • Familiarity with external insurance portals (Endata, Wilbur) or similar claim management systems (preferred)
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook)
  • Excellent customer service and communication skills
  • Previous experience with insurance claims processing (preferred)


Essential Qualifications:
  • Year 12 completion or equivalent
  • Certificate III in Business Administration or similar (preferred)
  • Work Eligibility:

  • Full working rights in Australia

  • Current driver's licence (for occasional site visits)
