About the role:
Join as an Office Administrator/Bookkeeper at our Rowville, Melbourne site, where you'll manage Xero bookkeeping, purchase orders, vendor ordering, bank reconciliations, and assist with financial reporting, while supporting daily office operations. This role offers a flexible and collaborative environment, contributing directly to the production of next-generation green technologies.
As an integral part of the team, you'll use your expertise in bookkeeping, office administration, and communication to work closely with our small but impactful team, managing finances and streamlining office operations.
Key responsibilities include:
- Xero bookkeeping
- Preparation of purchase orders and PO-to-AP reconciliation
- Bank and credit card reconciliations
- Processing daily bank payments and staff expenditure reimbursements
- Maintaining general ledger accounts
- Liaising with accountants for end-of-year financial reporting, assistance, and documentation preparation
- Logistics and customs clearance (occasional)
- Procurement of raw materials, equipment, and components
- Vendor liaison, including follow-up on outstanding orders and supplier communications
- Contract administration: weekly expense classification, monthly billing, and expenditure monitoring within budget
- Assisting the CEO with general office administrative matters
Selection criteria:
As an integral member of the team, we expect you to have a strong work ethic and relevant experience, along with:
- Minimum of 2 years' experience in bookkeeping, accounting, and office administration, preferably within a small business environment
- Proficiency in Xero accounting software
- Excellent organisational and communication skills
- Ability to work autonomously, demonstrating initiative and problem-solving skills
- Relevant degree or diploma in Accounting or Cert IV in Bookkeeping
- Tech-savvy with the ability to adapt and learn new systems quickly
- Intermediate to advanced proficiency in Microsoft Office, particularly Excel and Word
