Office Administrator – Dual Role

About the Role
We're looking for a proactive and highly organised Office Administrator to support the smooth operation of two dynamic businesses — Ciroa Beauty, a fast-growing beauty start-up during a very exciting phase of growth through expansion into UK and EU, and Jahie, a well-established name in the homewares industry.
This is an exciting and varied role for someone who enjoys working in a fast-paced, hands-on environment where every day brings new challenges and opportunities. You'll play a key role in ensuring both offices run efficiently, while providing vital support to our operations, marketing, and creative teams.
Key Responsibilities
- Office Administration: Oversee day-to-day operations of both offices, including utilities management, office supplies, organising team events and catering, and general upkeep.
- Warehouse & Logistics Coordination: Work closely with our Sydney-based warehouse to coordinate deliveries, couriers, and product samples — including receiving, unpacking, and organising samples in the office.
- Travel & Event Coordination: Book travel and accommodation for staff; assist in planning and executing company events, trade shows, and team activities.
- Photo Shoot Support: Assist the team during photo shoot days with logistics, sample preparation, and on-set coordination to ensure smooth execution.
- Document & Filing Management: Maintain organised records and filing systems (digital and physical).
- Team Support: Assist with onboarding new employees, preparing welcome materials, and coordinating office logistics.
- Marketing & Research Support: Help marketing teams with research, data collection, and administrative support for campaigns and product launches.
- Ad Hoc Tasks: Provide support across both businesses with various administrative needs as required by a small and growing team.
- Diary Management for the Managing Director
About You
You're a natural organiser with strong attention to detail and a "can-do" attitude. You thrive on variety, are comfortable switching between tasks, and take pride in keeping things running smoothly. You're proactive, reliable, and great at building rapport across teams.
Skills and Experience:
- Previous experience in an administrative, logistics, or office coordination role (experience across multiple brands or teams is a plus).
- Strong organisational and time management skills.
- Proficiency in Microsoft Office / Google Workspace tools.
- Excellent written and verbal communication skills.
- Ability to work independently and manage competing priorities.
- A positive attitude, with flexibility and initiative to get involved wherever needed.

Working Arrangements
This role is based at Bondi Junction, due to the nature of the role it is on site.
Occasional travel or event assistance (such as shoots or product launches) may be required as part of the creative development process.
