ABOUT THE ROLE
We are seeking a permanent part time experienced Receptionist/Administrative Assistant to join our growing practice. You will provide high quality reception and administrative support to our clients and passionate clinical service providers, and manage the day-to-day needs of the practice. This is a varied role that will suit an organised team-player or students looking for career-relevant experience in a supportive and vibrant practice. Capacity exists for full time work and career development in the future.

- Relevant administration qualification or experience in a similar environment
- Proven track record of high level verbal and written communication skills
- High level of organisational and administrative skills with attention to detail
- Excellent interpersonal skills and ability to engage with a wide range of stakeholders
- Flexible/solutions-focused approach to time management and changing priorities
- Client-focused and welcoming customer service approach
- The ability to work both independently and collaboratively as part of a team
- Experience with a range of IT software, specifically Microsoft Office 365
- Experience with Xero Accounting/Halaxy software (not essential)
On a day-to-day basis, you will be responsible for:
- Being the first point of contact and providing information to treatment seeking clients in a compassionate manner
- Diary Management, including scheduling client appointments for multiple clinicians
- Liaison with medical and other practitioners and organisations including Medicare
- Issuing invoices, processing payments, following up outstanding payments
- Data collection and maintenance of databases
- Confidential and efficient record management
- Preparing and sending correspondence to clients and other external parties
- Working closely with our team and contributing to a supportive environment
- Developing systems including policies and procedures
