We're currently on the lookout for a Project Officer/ Administrator to bolster our dynamic team.

Our West Leederville office is a hub of collaboration, fostering a positive company culture that values teamwork, creativity, and personal growth. Here, you will work alongside our experienced team as you assist the Project Management Office.

You'll play a crucial role in supporting ongoing local and international offshore projects; be provided with opportunities for training and development; have access to our free on-site parking and get a day off for your birthday

Reporting to the Project Manager, your responsibilities will include:

  • Providing administrative support for the organisational PMO across multiple offshore projects.
  • Coordinate and assemble project status information for project reporting.
  • Update, maintain, and distribute key project documents and registers to ensure consistency, quality, and traceability.
  • Coordinate team logistics—including personnel onboarding, travel, meeting coordination, and stakeholder engagement.
  • Operate effectively within a matrix project environment, collaborating across multi-disciplinary teams.
  • Apply your knowledge of project management best practices to support reporting, scheduling, and governance requirements.
  • Drive efficiency by developing structured processes and templates for project documentation and workflows.
  • Manage document control processes using M-Files: version control, metadata tagging, audit trails, and access management.
  • Support procurement and shipping activities, including supplier coordination and tracking of project logistics.

The ideal candidate should meet the following minimum criteria:

  • Proven experience as a Project Administrator, Document Controller, or similar role—ideally within offshore, construction, mining, or engineering sectors.
  • Strong proficiency in M-Files (or equivalent metadata-driven document management systems).
  • Capable of working autonomously and proactively in a fast-paced environment.
  • Skilled in collaborating effectively across matrix teams and liaising with multiple stakeholders.
  • Excellent organisational and communication skills, with attention to detail.
  • Understanding of project management frameworks and documentation standards.
  • Qualification in Project Management is desirable.
  • Must be highly proficient in the Microsoft suite of products, SharePoint, MS Project and SAP is desirable.
  • Must be willing to learn and upskill knowledge to take on additional tasks.
