Tender & Contract Maintenance Coordinator

About the Role:
A great opportunity is now available for an experienced Tender Coordinator to join a leading manufacturing organisation based in Mulgrave. You'll take ownership of coordinating and preparing high-quality tender and bid submissions, managing contract documentation, and supporting the seamless delivery of projects. This role sits at the centre of sales, finance, and operations ideal for someone who enjoys driving accuracy, consistency, and compliance across multiple touchpoints. This is a full-time position with an immediate start available.
Key Responsibilities:
- Lead and coordinate the end-to-end tender and bid submission process, ensuring deadlines and compliance requirements are met
- Prepare, format, and review submission documents with a strong focus on accuracy and presentation
- Maintain and update records in ERP systems (Dynamics 365 experience highly regarded)
- Oversee contract administration, including invoicing, documentation control, and compliance tracking
- Partner closely with internal stakeholders across sales, finance, and operations to gather technical input and align tender strategies
- Monitor stock movements and order commitments to support precise and competitive proposals
Skills & Experience:
- Demonstrated experience in tender or bid coordination (essential)
- Strong administration and document management capabilities with a solid understanding of compliance requirements
- High-level proficiency in Microsoft Office, exposure to Dynamics 365 is an advantage
- Exceptional attention to detail and strong organisational skills
- Ability to manage competing priorities and work confidently to tight deadlines
- Clear and collaborative communication style with the ability to influence and support internal teams
