Caulfield North Victoria, Australia Melbourne HR Full time $60,000 - $90,000 per year

Join a high-performing, positive team in a thriving business based in Caulfield North, Melbourne. Our client is looking for a proactive, organised Business Services Coordinator to help keep our operations running smoothly.

This hybrid role is ideal for someone who loves variety, enjoys improving systems, and thrives in a supportive team environment. You'll be at the centre of making sure our people, technology and processes are all running seamlessly.

What You'll Do

IT & Security

  • Collaborate with our IT partner and internal tech manager to ensure every employee has a fully functional workstation.
  • Maintain, track and update company assets in the asset register.
  • Ensure hardware and software are current and efficient to support productivity.
  • Support with Google Workspace administration requests.
  • Act as the first point of contact for IT issues — troubleshooting where possible before escalations

Office Management

  • Oversee office presentation, cleanliness, and organisation to create a professional and welcoming environment.
  • Manage workspace allocations, desk-sharing schedules, and office rosters.
  • Monitor and replenish office supplies and stationery.
  • Greet and host visitors professionally, making a great first impression.

Compliance & Corporate Governance

  • Maintain up-to-date records of licensing and compliance requirements across the business.
  • Track staff licences, renewal dates, and compliance deadlines.
  • Keep the corporate governance tracker current and monitor business renewals (insurance, certifications, licences) to avoid lapses.

Client Experience & Quality Assurance

  • Support the Client Experience team by making calls to collect client feedback and compiling data for reporting.
  • Assist with process improvement initiatives to enhance client service.
  • Collect, track, and analyse data to support quality assurance reviews and ensure adherence to internal processes.
What We're Looking For
  • Strong organisational and time-management skills, able to juggle multiple priorities.
  • Clear and confident communicator (written and verbal).
  • Proactive problem-solver who brings solutions, not just issues.
  • High attention to detail and commitment to quality.
  • Professional and approachable, with the ability to handle confidential matters.
  • Comfortable working both independently and collaboratively with cross-functional teams.
Why You'll Love Working Here
  • Positive, supportive team culture where your contribution matters.
  • Family-owned business fostering a welcoming, close-knit environment.
  • Career development opportunities and clear, easy-to-follow procedures and systems.
  • Pet-friendly office and a social committee running monthly events like go-karting, boating, karaoke, and after-work drinks.
  • Hybrid flexibility – work from home 2 days per week
