This role combines administrative expertise with hands-on coordination to ensure all RV and Caravan deliveries are prepared, documented, and presented to customers with a high level of professionalism and accuracy.

The Pre-Delivery & Paperwork Administration Coordinator is responsible for managing all associated delivery paperwork, compliance documents, registration materials, and internal systems – while also working closely with the workshop and sales team to coordinate the physical pre-delivery process of RVs and caravans.

This hybrid role is critical to ensuring timely, compliant, and customer-ready handovers.

Key Responsibilities:

Paperwork & Administration:

  • Prepare and manage all pre-delivery paperwork, including:
  • Lodge or coordinate vehicle registration with relevant transport authority
  • Liaise with sales and finance teams to confirm all documentation is complete prior to delivery
  • Follow up on missing paperwork or outstanding documentation from suppliers or customers
  • Maintain electronic and physical filing systems in line with company procedures

Pre-Delivery Coordination:

  • Schedule delivery dates with customers, sales team, and workshop
  • Ensure all accessories, upgrades, and optional extras are correctly installed
  • Confirm that all pre-delivery inspections (PDIs) are completed and documented
  • Coordinate with detailing and workshop teams to prepare the RV/caravan for final handover
  • Ensure delivery bays and customer handover areas are clean and ready
  • Assist with final walkthroughs or customer briefings (optional, based on experience)
  • Ensure all keys, remotes, manuals, and accessories are ready for collection

  • Customer-focused with a proactive attitude
  • Ability to work with multiple departments and manage competing priorities
  • Comfortable in both office and yard/workshop environments
