About the role:
We are currently searching for a People and Culture Coordinator to assist with the People and Culture Department as well as the Administration Team.
We are seeking a proactive and highly organized People & Culture Coordinator/Administrator to join our dynamic team. In this pivotal role, you will provide essential administrative and operational support to the P&C department, helping to drive a positive employee experience and foster a thriving workplace culture. From coordinating recruitment processes to assisting with onboarding, maintaining HR records, and supporting employee engagement initiatives, your attention to detail and passion for people will play a key role in supporting our organization's growth and success.
Reporting to the People and Culture Business Partner, we are seeking an individual with a desire to work in a creative environment, has a passion for design and strives to provide exceptional customer/people experiences.
Key Responsibilities
Administrative
- Scheduling internal and external meetings, talks, CPDs and presentations
Assistance with Director timesheets, expense claims, and credit card reconciliations as required
Communicate with building management and/or external services to facilitate building repairs, maintenance, cleaning and security to ensure the smooth operation of the studio as required
- Formatting and editing collateral documents and assisting with presentations in line with company brand.
- Preparing, printing, scanning, filing and binding documents
- General ad-hoc duties as required
Events
- Assisting with internal and external staff events: monthly studio lunches, monthly staff meetings, talks, Friday night social, mid and end of year parties when required.
People & Culture
- Maintaining and organizing employee records
- Drafting employment documentation including contracts and letters
- Coordinating interviews, onboarding, and offboarding logistics
- Responding to basic employee inquiries and monitoring the HR inbox
- Supporting training and compliance tracking
- Updating Vantagepoint with current staff qualifications and staff details
- Preparing monthly HR reports
- Ensuring all flexible work plans are current and documented
- Conducting initial phone screenings and shortlisting candidates
- General administrative support across day-to-day HR activities
Reception Cover
- Greet and direct all clients, suppliers and guest
- Answer, screen and forward incoming phone calls and enquiries
- Coordinate incoming and outgoing mail/packages and couriers
- Meeting room management
Competencies and experience required
- Bachelors degree or diploma
- Certificate IV in human resource management or a diploma in human resources is desired but not essential
Knowledge of Australian employment legislation, including Fair Work Act, awards etc.
1-2 years' experience working in recruitment
- Strong communication skills, both written and verbal
- Strong organisational and time management skills
- Ability to effectively build relationships
- Awareness of confidentiality and discretion where required
- Strong attention to detail and accuracy
- Proficiency in Microsoft Office Suite and Adobe software
- Indesign skills highly regarded
