As Executive Assistant to the Precinct Lead at Austin Health and reporting to theManager of Department of Surgery under Melbourne Medical School, you'll be at the heart of cutting-edge medical research and education. You'll provide crucial support across university and hospital environments, managing complex schedules, enabling collaborative research activities and liaising with diverse stakeholders. This role offers you the opportunity to contribute significantly to the advancement of medical knowledge and healthcare leadership.

Your responsibilities will include:

  • Provide Executive Support: Manage the Precinct Lead's schedule, correspondence, and administrative needs across multiple roles in the university and hospital.

  • Coordinate Research Activities: Support research groups with administrative and coordination tasks that may include development of grant applications, ethics submissions and research meetings, facilitating the progress of vital medical studies.

  • Manage Stakeholder Relations: Act as a key liaison between the Department, hospital staff, and external partners, requiring diplomacy and discretion.

  • Oversee Administrative Processes: Ensure smooth operation of departmental activities, including honorary appointments, staff reviews, and committee support.

You may be a great fit if:

You are a highly organised professional with experience in healthcare or academic environments, possessing excellent communication skills and the ability to manage complex, confidential information across multiple stakeholders.

You may also:

  • Have a relevant tertiary qualification or equivalent experience in a similar role.

  • Possess strong project and event management skills.

  • Demonstrate excellent written and oral communication abilities.

  • Have experience in committee support and minute-taking.

  • Be proficient in MS Office, Zoom, Teams, and ideally university-specific systems.

  • Be comfortable working in both university and hospital environments.

Your new team - Department of Surgery, Austin Health

The Department of Surgery (DoS) is based across six precincts of the Melbourne Medical School (Eastern Hill, Parkville, Heidelberg, Northern, Western and Sunshine) and its affiliated hospitals including St Vincent's Hospital, Royal Victorian Eye and Ear Hospital, Royal Melbourne Hospital, Austin Hospital, Western/Sunshine Hospitals, Epworth Hospital and Northern Hospital. The Austin Precinct incorporates the University of Melbourne activities involving staff from many Departments of the Melbourne Medical School including Surgery, Medical Education, Medicine and Radiology, Psychiatry, General Practice, Obstetrics and Gynaecology, and Paediatrics. Members of the department are involved in research and in post-graduate teaching in surgery. These activities are undertaken both within the department, and more broadly on the hospital precincts.
