The Opportunity

Encaba Group is a Northern Territory–based electrical engineering, automation, and switchboard manufacturing company delivering end-to-end turnkey solutions across defence, mining, utilities, and infrastructure. As we continue to take on increasingly complex projects, we are seeking a highly motivated and experienced Project Administrator to become a critical hub for our project delivery team.

This is more than a support role. We are looking for a process-builder and a proactive problem-solver who can take ownership of the administrative backbone of our projects and help us continuously improve how we operate.

What you'll do

As a key member of the project team, you will:

  • Own the administrative success of multiple high-value electrical and automation projects, partnering directly with Project Managers and Engineers.
  • Develop and manage robust project documentation systems, ensuring the accuracy and control of all registers, drawings, reports, and communications.
  • Drive project momentum by coordinating schedules, tracking milestones and deliverables, and anticipating potential roadblocks.
  • Manage the procurement lifecycle, from supplier engagement and raising purchase orders to proactively tracking long-lead items to mitigate delays.
  • Proactively identify gaps in project workflows and take the initiative to develop and implement more efficient processes and systems.
  • Champion compliance with Encaba's ISO 9001 Quality Management System, ensuring all project activities meet our high standards for quality and safety.
  • Serve as a key liaison between clients, subcontractors, and internal teams, ensuring communication is clear, consistent, and professional.

What you'll bring

  • A minimum of 3 years' experience in a high-autonomy project administration role, ideally within the engineering, construction, resources, or manufacturing sectors.
  • A 'process-builder' mindset. You don't just follow the checklist; you see opportunities to improve it and have the confidence to take action.
  • Exceptional problem-solving skills, with a proven ability to anticipate project risks and contribute to effective mitigation strategies.
  • Strong proficiency with the Microsoft Office Suite. Experience with job management software (e.g., Simpro), project management software and formal document control systems is highly desirable.
  • Outstanding organisational and time-management skills, with the proven ability to confidently manage competing priorities in a dynamic environment.
  • Meticulous attention to detail and excellent written and verbal communication skills.
