About the Role

The Administration Officer is a vital member of the GT Print Business, providing a welcoming smile as first point of contact at the reception desk and a confident and welcoming voice over the telephone – communicating with fellow workers, greeting customers, representatives and suppliers. The role ensures accounts and admin support is managed efficiently and effectively.

As a central team member at GT Print, you'll play an important role in ensuring the smooth operation of our front office, customer service, and accounts functions. Your daily responsibilities will include: Greeting clients and visitors with a warm and professional manner at our reception desk.

  • Answer and direct calls, take messages, and manage emails.

  • Handle incoming/outgoing mail and arrange couriers or Australia Post.

  • Keep reception and office areas clean and presentable.

  • Order and maintain stock of office and kitchen supplies.

  • Manage the Director's calendar and schedule appointments.

  • Process payments and update invoice details in Xero.

  • Enter and reconcile Accounts Payable and Receivable.

  • Send client statements and follow up on outstanding payments.

  • Assist with packing, labelling, and dispatch of print jobs.

  • Ensure goods are not dispatched without payment or approval.

About You

  • Experienced in admin, reception, or accounts support roles.

  • Confident using Microsoft Office and Xero.

  • Clear and professional communication skills.

  • Friendly, reliable, and client-focused.

  • Strong multitasking and time management ability.

  • Proactive with a can-do attitude and team spirit.

  • Detail-oriented with a high level of accuracy.
