Role Overview
The Office Coordinator & Production Assistant will play a dual role in supporting the smooth day-to-day running of the Infinity Squared office while also providing hands-on assistance to the production team. This role suits someone who is organised, proactive, and eager to gain broad exposure across both operations and production.
Key Responsibilities
Office Coordination
Manage front-of-house duties, including welcoming guests and handling general enquiries.
Maintain office supplies, equipment, and studio facilities.
Coordinate team calendars, internal meetings, and external appointments.
Support HR and Finance with administration, onboarding, timesheets, and expense processing.
Assist with company events, team activities, and culture initiatives.
Act as a key contact for vendors, suppliers, and building management.
Production Assistance
Support producers with day-to-day project coordination and shoot logistics.
Assist with booking crew, talent, locations, equipment, and transport.
Prepare and distribute call sheets, production documents, and schedules.
Support on set with production tasks (runner duties, equipment, catering, etc.).
Ensure accurate documentation, releases, and compliance requirements are completed.
Manage petty cash and expense reconciliations for shoots.
Skills & Experience
1–2 years' experience in office administration, production, or a related creative role (internships considered).
Strong organisational skills with the ability to juggle multiple priorities.
Excellent communication and interpersonal skills.
High attention to detail and problem-solving mindset.
Proficiency in Microsoft Office and Google Workspace; production software (e.g., Movie Magic, StudioBinder) a plus.
A genuine interest in film, media, and creative production.
Current driver's licence preferred.
