Sydney, New South Wales, Australia Colab Design Group Full time $60,000 - $90,000 per year

About Us

At Colab Design Group, we create bespoke exhibition stands, retail pop-ups, and brand activations that help our clients stand out and connect with their audiences. Our team of designers, makers, and project managers is passionate about delivering creative environments with precision, impact, and energy.

The Role

We're seeking a Project Coordinator with plenty of initiative and a can-do attitude to join our growing team. This role is hands-on, fast-paced, and highly rewarding, perfect for someone who thrives on variety and enjoys seeing projects come to life from concept to completion.

You'll work closely with designers, suppliers, builders, and clients to ensure projects run smoothly and are delivered on time, on budget, and at the highest standard. You'll split your time between our creative studio and on-site supervision, including interstate travel for builds.

We're looking for someone who is:

  • Proactive and resourceful, spotting challenges early and finding solutions quickly.
  • Detail-obsessed, ensuring nothing slips through the cracks.
  • Driven to finish tasks and see projects through to the last detail.
  • Positive and collaborative, building strong relationships with clients, partners, and the team.
  • A great communicator, able to keep clients, suppliers, and team members aligned with clear and confident updates.
  • Excited by the variety of exhibitions, pop-ups, and activations.

Responsibilities

Project Coordination

  • Prepare estimates and quotes for client projects.
  • Source and order materials, furniture, décor, and other items.
  • Liaise with suppliers, subcontractors, and logistics providers.
  • Manage freight, couriers, and delivery schedules.
  • Support the Managing Director with proposals and client presentations.
  • Act as a client point of contact for project requirements and updates.

Design Support

  • Translate client briefs into design concepts and communicate with the design team.
  • Review 2D plans and 3D drawings, assisting with approvals and detailing.
  • Present designs and project updates to clients confidently.

On-Site Supervision

  • Oversee stand builds at exhibitions, events, and pop-ups.
  • Build strong relationships with our partner suppliers
  • Be hands-on with styling, decorating, and finishing touches.
  • Troubleshoot issues on-site with a practical, solution-oriented mindset.
  • Travel interstate to ensure smooth project delivery.

Ideal Skill Set

  • Previous experience in exhibitions/events or retail fitouts.
  • Strong knowledge of materials, construction, and fabrication processes.
  • Familiarity with suppliers, sourcing, and joinery detailing.
  • Excellent time management and multitasking abilities.
  • A team player who thrives under pressure and deadlines.
  • Proven problem-solver with a proactive, resourceful approach.
  • High attention to detail and pride in delivering polished results.
  • Valid driver's licence and access to a vehicle.

What We Offer

  • A competitive salary package.
  • The chance to work on exciting, high-profile projects across exhibitions, events, and retail.
  • A supportive, fun, creative team culture where collaboration is key.
  • We like to celebrate the wins (big and small) along the way, too.
  • Opportunities to travel and see your projects come to life in real time.
