We're looking for an Administration Assistant to help keep things running smoothly behind the scenes. You'll support our HR and Accounts teams with tasks like payroll processing, maintaining employee records, and general office admin.

Main Duties and Responsibilities:

Payroll Administration:

  • Assisting with processing payroll accurately and in a timely manner, ensuring compliance with relevant awards and agreements
  • Maintain employee payroll records and update changes in salary, tax, and superannuation details
  • Respond to payroll related inquiries from employees and management
  • Liaise with external payroll providers if applicable
  • Manage and enter leave requests into Payroll & booking Calendar

Incolink & Superannuation Management:

  • Process and reconcile Incolink contributions as per industry requirements
  • Ensure timely payment and lodgement of superannuation contributions
  • Ensuring all EBA conditions are met where applicable

Worker Compliance & Licenses:

  • Management of employee files & databases to ensure qualifications are kept current and worker compliance is maintained
  • Manage onboarding and support for worker platforms including 3DSS, RIW, Pegasus, Aquipa and Sitesmart
  • Manage payment for worker subscriptions and payroll deductions where applicable
  • Manage of employee RIW profiles to ensure onsite compliance
  • Ensure worker compliance for planned works, across all Project platforms
  • Manage worker uniforms and PPE, includes issuing to staff as required and reordering as needed
  • Coordinate training or refresher courses where necessary

General:

  • Assist the Financial Controller in financial data entry and reconciliation tasks when required, including Linkedsite
  • Maintain confidential employee records and ensure data accuracy
  • Support compliance reporting and audits as required
  • Assist in improving payroll and compliance processes for efficiency and accuracy

Experience & Skills Required:

  • Experience in payroll, finance administration or related role
  • Experience with Xero or WOJO Payroll Preferred
  • Experience managing worker licenses and compliance records- Ideally without the rail industry, including RIW & 3D Safety
  • Strong organizational skills and an ability to prioritize tasks effectively.
  • Sound computer skills and the ability to navigate multiple platforms and programs
  • Attention to detail and a high level of accuracy in all tasks
  • Excellent communication skills
  • A good attitude
