Vogue Grange is a well-established landscape construction company with our head office based in Moorabbin. We are recognised for our expertise in architectural projects in the residential and commercial space. As our business continues to grow rapidly, we're seeking an experienced and highly organised Administrative Assistant to join our team. This role is ideal for someone with a background in construction administration and a keen eye for detail.

About the Role

Reporting directly to both the Construction Director and Finance Manager, you will play a key role in supporting both members on a daily basis. The role involves a mixture of operations and financial support duties whilst ensuring the smooth and efficient running of the office.

Key Responsibilities

  • Provide administrative support to the Construction Director and the Finance Manager

  • Assist with calendar and email management, correspondence and documentation

  • Implement and refine office systems, procedures and workflows

  • Prepare invoices, claim submissions and expense reports

  • Maintain and update project folders, registers, and documentation

  • Manage insurance premium renewals and claims
  • Maintain accurate records and data entry within Xero Accounting Software

  • Coordinate office supplies, filing, and general administrative tasks

  • Maintain staff details, shared spreadsheets, and password records
  • Manage fuel cards, supplier cards, and toll accounts
  • Complete supplier credit applications
  • Assist with accounts payable/receivable when necessary

  • Ensure compliance with internal processes and timelines

About You

  • Minimum 2 years' experience in an administrative role within the construction industry

  • Experience in assisting with financial accounts processes and knowledge using Xero would be ideal

  • Proficiency with Microsoft Office especially Excel

  • Excellent attention to detail and high level of accuracy

  • Exceptional organisation and time management skills

  • Strong communication and interpersonal skills

  • Ability to work independently and as part of a team
