Position Overview

The Project Accounts Officer is responsible for managing the financial integrity of projects from inception to completion while ensuring accurate financial tracking, smooth project delivery and ensuring costs are processed efficiently. Working closely with production teams, the Project Accounts Officer ensures budgets are well-managed, costs are controlled, and compliance requirements are met. This is a hands-on and collaborative role, suited to someone who thrives in a

dynamic creative environment and can confidently communicate financial concepts to non-finance colleagues, and takes pride in driving both accuracy and impact in their work.

Key Responsibilities:

● Support end-to-end project financial activities including assisting with budget setup, supplier

onboarding, invoice entry and expense & bank reconciliation.

● Review supplier invoices for accuracy, coding and budget alignment before submission for approval and payment.

● Liaise with internal and external stakeholders to resolve discrepancies or delays related to

invoicing.

● Partner with production teams to create, review and monitor project budgets.

● Track costs, revenue, and margins to ensure projects meet financial objectives.

● Perform project budget reconciliations to ensure all costs and revenues are accurately

captured.

● Conduct post-project financial summaries and reviews to identify improvements for future projects.

● Provide accurate project financial data to support cashflow forecasting.

● Assist in tracking outgoing payments to support cashflow management.

● Ensure all financial activities adhere to company policies, accounting standards, and legal

obligations.

● Act as a finance liaison for production teams, offering guidance on budgets, reporting, and cost control.

● Build strong relationships across departments to improve financial understanding and

accountability.

Skills & Experience

● 1+ years' experience in an accounting, finance, or project accounting role (experience in

creative, media, or events industries highly regarded).

● Strong understanding of accounts payable, purchase orders, and general accounting

principles.

● Proficiency in Xero, Paprika, or other project management/finance systems (training provided for Paprika).

● Excellent Excel and data management skills.

● Strong attention to detail, organisational skills, and ability to manage multiple deadlines.

● Effective communicator with a collaborative mindset and ability to liaise across departments.
