The Opportunity

We are looking for a proactive and detail-oriented Warehouse Office Administrator to join our Dandenong team. Reporting to the Warehouse Manager, this on-site role plays a vital part in ensuring our warehouse despatch office runs smoothly. You'll be the go-to person for administration, communication, and customer service support – keeping everything organised behind the scenes so our operations stay on track.

What you will do:

Whilst providing exceptional customer service to both internal and external customers, responsibilities include:

  • Provide day-to-day administrative support to warehouse operations.
  • Handle incoming calls, emails, and customer queries in a professional and timely manner.
  • Enter and process invoices, ensuring accuracy and resolving discrepancies.
  • Track freight orders with carriers and provide delivery updates to the call centre.
  • Maintain accurate records using systems such as Costar and Machship.
  • Support the Warehouse Manager with timesheets, office supplies, and reporting.
  • Assist with quotations and liaise with the call centre on customer requests.
  • Ensure a safe, tidy, and efficient office environment.
  • Contribute to continuous improvement by identifying process efficiencies.
  • Internal reporting.

To be successful in this role, you will:

  • Previous administration experience (ideally in a warehouse or logistics environment).
  • Proficiency with Microsoft Office (Word, Excel).
  • Strong written and verbal communication skills.
  • Highly organised with the ability to manage multiple priorities.
  • A proactive, "can-do" attitude and willingness to learn.
  • Strong attention to detail and commitment to customer service.
  • Ability to work effectively in a team environment.
  • Ideally hold a driver's licence and/or Business Administration qualifications
