D'Omkara Accountants is a boutique accounting firm based in Melbourne CBD. Our clients include start-ups, family groups, RTOs, property developers and listed companies.

We provide a comprehensive suite of accounting and taxation services including start-up advisory, tax planning, business restructuring, reporting and compliance, corporate secretarial, and wealth creation strategies. Our professional services also extend to due diligence, mergers and acquisitions, buy-outs, divestments, as well as virtual CFO and Board advisory support.

Due to continued growth, we are seeking an experienced Office Practice Manager to oversee the management of our practice operations and administration.

Role Overview:

The Office Manager is responsible for managing the day-to-day operations of the practice, ensuring the office runs smoothly, business goals are met, and high-quality services are delivered to clients. The role involves people management, client administration, billing, regulatory compliance, and overall office coordination.

You will work closely with the Partners and Managers to ensure the firm operates efficiently and continues to deliver exceptional client service.

Key Responsibilities:

Office & Team Management

  • Oversee daily office operations, including allocation of staff, workspace, and equipment
  • Contribute to the planning and review of office services, setting priorities and operational objectives
  • Assign tasks, manage workloads, and monitor staff performance (including offshore team members)
  • Ensure compliance with workplace health and safety regulations and government legislation
  • Coordinate HR functions including recruitment, performance management, payroll, training, and supervision
  • Maintain office supplies, equipment, and efficient office systems

Financial & Billing Management

  • Prepare and issue client invoices in a timely manner
  • Monitor and follow up on outstanding debtors
  • Manage firm expenses, process payments and reimbursements
  • Oversee office records and accounts

Client Onboarding & Relationship Management

  • Draft and issue engagement and ethical letters
  • Manage client setup and updates across ATO and XPM portals
  • Build and maintain long-term client relationships, acting as a key contact for clients
  • Prepare draft client letters, tender documents, and firm-wide communication emails
  • Assist with client surveys and implement feedback initiatives

Regulatory & Compliance Oversight

  • Oversee ASIC-related lodgements, correspondences, and compliance requirements
  • Handle ATO matters including online payment plans, penalty remissions, ICA/ITA queries, BAS lodgements, and client correspondences
  • Ensure all operations comply with applicable laws, policies, and procedures

Marketing & Growth Support

  • Coordinate marketing communications, including technical updates, newsletters, and client checklists
  • Support client engagement initiatives, surveys, and networking activities

Qualifications & Skills:

  • 1-3 years' proven experience as an Office Manager, preferably in a professional services environment
  • Australian work rights
  • Experience liaising with external agencies such as ASIC, ATO, and SRO (preferred)
  • Strong organisational skills and high attention to detail
  • Proficiency in Xero / Xero Practice Manager (advantageous)
  • Excellent written and verbal communication skills
  • Ability to multitask and manage competing priorities
  • Personable, with the ability to develop strong relationships with clients and colleagues
  • Proficiency in Mandarin or Cantonese is highly desirable, given our strong Chinese client base and our expansion plans in Malaysia and other Chinese-speaking regions
  • Bachelor's degree or equivalent qualification (preferred)
