About the role

ABC MADE is the internal creative agency of the ABC, responsible for creating distinctive promotional material for the organisation from advertising campaigns to TV promos and beyond.

This role provides administrative support and assistance to the Head of Made as well as the broader team by working across departmental administrative, financial and production needs and ensuring those needs are managed within ABC policy and procedures. The successful candidate will be dynamic and pre-emptive; capable of determining challenges before they arise and providing a suite of clear and compelling solutions. They will be as adept at working with complex organisational management software as they are at creatively solving problems.

We are looking for an extremely proactive operator. Someone who combines an innate capability for organisational prowess with a flair for creativity and production. They will not only be the operational linchpin of Made but also play an incredibly influential role in driving the creative culture of the team. While a significant part of this role involves supporting the Head of Made in their day-to-day work, they will also be crucial in supporting anything from the production of a photography shoot to orchestrating team events.

What you'll be doing

  • Support the Head of ABC Made with day-to-day admin like diary management, travel, meetings, events and general office coordination.
  • Help the ABC Made team with admin tasks including VISA reconciliation, asset tracking, invoice follow-ups, IT requests, office purchases and keeping databases and digital filing systems up to date.
  • Look after HR processes for the team - things like monitoring leave, onboarding new starters, managing payroll forms, doing WHS inductions, processing casual timesheets, maintaining the casual roster, and handling freelance contracts, insurance and schedules.
  • Keep on top of finance processes such as invoice payments, CabCharge accounts and budget tracking.
  • Lend a hand with planning campaign shoots and managing content in the Content Digital Archive (CoDA).
  • Help the team stay organised by championing digital tools and platforms that make workflows, collaboration and information sharing easier.
  • Support the ABC Made Photo Editor, sourcing and formatting show images, liaising with program planners and schedulers and researching new programs.
  • Manage voice-over bookings when needed.
  • Be the first point of contact for admin enquiries and keep communication flowing between departments, production units and external partners.
  • Jump in on research projects or other assignments, making sure everything's accurate and delivered on time.
  • Keep everyone in the loop by coordinating information, schedules and priorities across the team.

About You

  • Strong admin and organisational skills with great attention to detail.
  • Confident interpreting and applying policies, procedures and guidelines.
  • Solid understanding of how TV and production environments work, from processes to techniques.
  • Great communicator with solid people and analytical skills, able to write clear and concise reports.
  • Process-focused and good at setting up and keeping smooth office systems running.
  • Tech savvy - comfortable with databases, MS Office and experienced with SAP HR and Finance.
  • Excellent time management skills - can juggle priorities and stay calm under pressure.
  • Team player who helps build a positive, creative, inclusive and supportive work culture.
