Our CityCare are currently looking for a part-time (2.5days/week) Project Coordinator to join our team. This role will be responsible for contributing to the effective coordination and delivery of projects by managing assigned tasks of planning, administration, and communication to ensure organisational goals are achieved through efficient completion of activities, proactive resolution of routine issues, and continuous improvement in processes and outcomes. 

Other aspects of this role include:

Project Planning & Delivery

  • Coordinate the day-to-day implementation of assigned project activities, ensuring timely delivery in alignment with project goals 
  • Contribute to the development of project plans, including risk management strategies, and budget input, under general guidance. 
  • Maintain and monitor project schedules and task trackers, identifying and flagging any delays or risks
  • Organise and coordinate logistics for meetings, workshops, and events, including preparing agendas, booking venues, and sourcing materials.
  • Prepare risk assessments and follow up on action items.

Monitor Project Progress and Documentation

  • Monitor project progress and activities and ensure accurate records are kept for reporting and compliance purposes.
  • Collect and compile project data (e.g. participant numbers, feedback forms, attendance logs), and analyse trends to support reporting. 
  • Draft internal status updates or progress reports with minimal supervision.
  • Ensure version control and filing of project-related documents.
  • Ensure compliance with legal, regulatory, funding and reporting requirements. 
  • Optimum contribution to quality of project deliverables.

Team Support

  • Act as a key point of contact for internal and external relationships and contacts. 
  • Provide administrative and logistical support to team members.
  • Communicate task deadlines and expectations to team members or volunteers, supporting task completion and accountability.
  • Respond to routine and moderate complex inquiries from suppliers or organisations.
  • Coordinate team calendars, meeting notes, and follow-ups to ensure alignment and progress on shared goals.

Ideally, the successful candidate will bring:

  • Certificate IV in Business Administration, Community Services, Project Management, or a related field, or equivalent combination of relevant experience and training.
  • Demonstrated experience in administrative or project coordination roles, ideally within the not-for-profit, community services, or human services sector.
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and confidence using shared drives or basic project tracking tools.
  • Strong written and verbal communication skills, with the ability to engage respectfully and effectively with a variety of internal and external stakeholders.
  • Ability to follow established procedures, work collaboratively in a team environment, and take initiative within defined guidelines.
  • Desirable: Experience supporting churches or working alongside volunteers.
