Primary objective
Provide high-level administrative support and coordination to the operational and management teams at Holtze Youth Detention Centre
(HYDC) and the Alice Springs Youth Detention Centre (ASYDC). The role works within the Youth Justice Operations Support Unit and is
responsible for facilitating the smooth and compliant operation of administrative services across the centres in accordance with policy,
procedures, and service standards.
Key duties and responsibilities
1. Manage and organise travel to support the effective operation of the HYDC and ASYDC, including flights, accommodation, vehicle
hire, and person-in-custody escort travel while ensuring all intra/inter-agency stakeholders are kept informed and updated.
2. Process invoices and associated costs accurately within NTGPay and arrange approvals in accordance with delegations, along with
preparing and finalising Movement Requisitions for accurate record keeping and timely payment of invoices and allowances.
- Serve as the main point of contact for Service Australia inquiries and provide accurate and timely reports on detainee admissions and
discharges. Reconcile payments and make arrangements for adjustments where required.
4. Coordinate requests for assessments by external providers received by the Specialist Assessment and Treatment Services Team.
5. Prepare monthly and ad hoc reports, provide reporting to leaders and update relevant records to ensure systems are kept up to date
and accurate.
6. Manage incoming phone calls and queries, oversee generic email accounts and diary management to ensure appropriate task allocation
and timely responses and enquiries and requests are distributed appropriately.
- Perform general administrative functions including taking meeting minutes, formulate agendas, distribute background papers, venue
booking and catering and teleconference setups, data entry and the preparation of written correspondence.
8. Participate in continuous improvement processes and projects that improve efficiency and provide greater capacity for the work unit
to provide quality and proactive services to the divisions.
Selection criteria
Essential
1. Demonstrated experience in an administrative role; including organising travel, diary management and adherence to policy and
procedure and a range of financial processes which includes the extraction and analysis of reports.
- Demonstrated interpersonal skills, the ability to communicate professionally and build relationships with a diverse range of
stakeholders demonstrated through written and verbal communication skills.
3. Demonstrated computer skills with proficiency in a range of relevant computer software (such as word and excel) with the ability to
undertake high quality data entry and effective retrieval of information.
4. High level of self-management including motivation, ability to work with minimum supervision, meet deadlines, strong attention to
detail, initiative and display sound ethics, confidentiality and discretion when handling sensitive information.
5. Demonstrated flexibility and ability to adapt to change in process and priorities to meet the fast-paced demands of a dynamic working
environment.
- Ability to proactively identify and address issues that may impact on administrative service delivery in a complex working environment,
identifying areas for improvement, and designing solutions to improve capacity and performance.
Desirable
1. Qualification in office administration or equivalent.
