The Administrative Support Specialist reports directly to the General Manager and is responsible for the co-ordination and delivery of a range of administrative functions and services to Autoinfo and our clients, and to provide back up support to the support team to ensure seamless high-quality support to our customers.
- Invoicing and Accounts Receivable: Manage customer and invoice set up and queries in Xero. Run the preparation and generation of invoices, the accounts receivable and reconciliations process. Ensure supplier invoices have been received and scheduled for payment.
- Customer Management: Manage enquiries, customer set-up and onboarding of existing and new customers, brands and agents. Administer contracts and agreements.
- Customer Support: Provide administrative and direct support to internal and external customers.
- Reporting: Build, provide and review regular and ad hoc reporting to support strategic decisions.
- Collaboration: Work closely with other teams to meet the company's goals and provide after-hours/on-call support as needed.
- Documentation: Keep up-to-date documentation for systems and processes.
- Continuous Improvement: Aim at continually improving the systems, the processes and working environment so Autoinfo continues it's goal to become a world class company.
What We're Looking For
- Relevant Bachelors degree in Business or significant Administrative or Operational experience
- At least 2 years experience personally using Xero for invoicing and reconciliations
- At least 5 years providing customer service with a high level of interpersonal skills including the ability to consult and negotiate with a range of internal and external clients
- At least 5 years in an administrative, dealing with competing priorities and multiple functions.
- Effective written and verbal communication skills to liaise with both technical and non-technical stakeholders.
- Strong analytical and problem-solving abilities, with a focus on autonomy and initiative.
- Ability to deliver exceptional service to internal and external customers.
- A collaborative attitude, contributing to a positive company culture.
- Highly driven individual with strong attention to detail, excellent time management skills, a proactive, energetic, and positive attitude with the ability to adapt to changing tasks.
