Roles and Responsibilities

  • Provide high-level executive support to managers, ensuring they stay aligned with strategic priorities
  • Manage schedules, meetings, communications, and travel with precision
  • Relay key messages and ensure follow-up on action items between stakeholders
  • Handle company credit card reconciliation and financial admin tasks
  • Coordinate events, team meetings, agendas, and track action items
  • Ensure the office environment is professional, organized, and welcoming
  • Assist with onboarding and workstation setup for new team members
  • Provide general admin support across departments as needed

Required Experience

  • Executive assistant or operations support role within a corporate setting
  • Managing confidential information with integrity and discretion
  • Handling high-level communication and cross-functional coordination
  • Managing executive travel and calendar scheduling
  • Preparing agendas, meeting minutes, and follow-up tracking
  • Experience coordinating office operations and interacting with external stakeholders

Minimum Qualifications

  • Proficient in Microsoft Office Suite (Outlook, Word, Excel)
  • Familiarity with tools like Jobpac, Procore, OneNote
  • Strong time management, prioritization, and attention to detail
  • Exceptional written and verbal communication skills
  • Ability to work autonomously and adapt to dynamic environments

  • Document formatting and business correspondence

Experience Advantage

  • Prior experience in a construction, engineering, or project-based business
  • Experience with onboarding coordination and office management
  • Supporting multiple executives or managers simultaneously
  • Familiarity with executive-level reporting, project updates, and KPIs
