3. To support our strateg growth and operational efficiency, we are now seeking an experienced Program/Project Administrator to join our team. This role offers the opportunity to work in a fast-faced, global environment and contribute to the smooth execution of business operations. We offer a competitive remuneration package ($80,000 to $90,000 plus superannuation) and a supportive workplace that values professional development and career progression.

The successful candidate will need to satisfy the following criteria:

• Tertiary qualifications in business administration, project management, logistics, or a related field.
• Demonstrated experience as a Project or Program Administrator, preferably in logistics, supply chain, or freight forwarding.
• Strong organisational and planning skills, with the ability to manage multiple priorities.
• Excellent communication and stakeholder management skills.
• Proven analytical skills, with the ability to prepare and present project reports.
• Proficiency in Microsoft Office Suite and project management tools such as Microsoft Office, Extensive and Cargowise (Wise Cloud)
• A proactive, detail-oriented approach with the ability to work both independently and in a team environment.

Key Duties and Responsibilities

The Project / Program Administrator will be responsible for:

• Coordinating resources, meetings, communications, financial records, and documentation for projects and programs.
• Developing project and program frameworks, organising and delegating tasks to ensure smooth delivery.
• Liaising with professionals, business owners, and senior management to ensure deadlines and compliance requirements are met.
• Advising senior management on matters requiring attention and supporting the implementation of strategic decisions.
• Maintaining CRM, sales, and compliance records to ensure seamless handover and reporting accuracy.
• Ensuring all project documentation is current, compliant, and accessible.
• Collating and review supplier and subcontractor quotes to assist the estimating team
• Gather supporting materials, track deadlines, and maintain tender registers
• Overseeing contractor performance, monitoring progress, and reporting on work order variations.
• Preparing and reviewing submissions, reports, and documentation concerning organisational activities.
• Collecting and analysing project data, and reporting outcomes to internal and external stakeholders.
