Job Overview:
The Compliance Coordinator is responsible for managing and maintaining compliance documentation across all client sites, ensuring adherence to relevant fire safety standards, legislation, and client contractual obligations. This role coordinates the Annual Fire Safety Statement (AFSS) process, tracks non-conformances and defect rectifications, and ensures timely submission of compliance reports. The Compliance Coordinator plays a key role in helping clients meet their legal fire safety obligations and supports internal teams in achieving service compliance.
Responsibilities and Duties:
- AFSS & Compliance Reporting
• Coordinate and manage the Annual Fire Safety Statement (AFSS) process for applicable client properties.
• Liaise with clients, technicians, and certifiers to gather required compliance documentation and complete AFSS submissions on time.
• Maintain a calendar of upcoming AFSS due dates and ensure timely planning and action.
- Non-Conformance & Defect Tracking
• Monitor outstanding non-conformances, defects, and recommendations arising from inspection reports.
• Track completion of rectification works and ensure necessary documentation is obtained for compliance closure.
• Flag critical defects or overdue non-compliances to management and escalate where necessary.
- Documentation Management
• Maintain and organize all compliance-related records including service reports, certificates, testing results, and AFSS records.
• Upload and manage compliance documents in the field management system (Uptick) and client portals as needed.
• Ensure accuracy and accessibility of compliance data for audits, client queries, or council requests.
- Client Liaison & Support
• Act as a point of contact for clients regarding compliance queries, AFSS preparation, and documentation requests.
• Provide clients with status updates on AFSS progress, outstanding defects, and timelines.
• Assist in educating clients on their statutory fire safety responsibilities and the AFSS process.
- Internal Coordination
• Work closely with service, repairs, and admin teams to ensure services and rectifications are completed in line with compliance deadlines.
• Coordinate with fire safety assessors, certifiers, and external consultants as required.
- Compliance Improvement & Reporting
• Generate regular compliance reports, including AFSS status, outstanding defects, and completion rates.
• Identify trends or recurring non-conformances and work with management to address systemic issues.
• Support the development and implementation of compliance procedures and continuous improvement initiatives.
Qualifications & Experience
•Administration or Coordination Experience preferred, fresh college grads are welcome to apply.
•Understanding of AFSS requirements and fire safety legislation (e.g. NSW Environmental Planning & Assessment Regulation) is highly desirable but not necessary.
•Proficiency in field management and document control software (Uptick)
