Role Description
About the Opportunity
NAX Capital is seeking a corporate and proactive Personal Assistant / Team Administrator to provide high-level support to our Group CEO and dynamic team. This role requires a confident individual who excels at managing calendars, communications, logistics, and documentation, utilising their organisational skills—all while representing the company with professionalism and discretion.
This is a full-time permanent onsite position located at our modern office on 570 St Kilda Road.
Key Responsibilities
· Manage the CEO's calendar and team appointments with precision
· Draft and respond to email correspondence, ensuring timely follow-ups
· Coordinate domestic and international travel arrangements
· Attend meetings, take accurate minutes, and track and follow up on action items
· Organise confidential files, promotional assets, and internal documents
· Facilitate smooth communication between leadership and other departments to ensure alignment and responsiveness
· Assist with onboarding and office coordination tasks
About You
This role is ideal for an energetic and enthusiastic individual who will ensure the smooth operation of multiple functions. You will be the key link between leadership, internal teams, and external stakeholders.
· Minimum 1 year's experience in an administrative or PA role (or similar)
· Strong written and verbal communication skills with a corporate presentation style
· Exceptional attention to detail and time management
· Proficiency in MS Office Suite, Outlook, Teams, Zoom, and Jira
· Able to work independently in a fast-paced environment with tight timelines
· Adaptable in dynamic, fast-paced environments
· Demonstrated discretion with confidential information
· Comfortable working in a small, high-performance team under tight deadlines
· Prior exposure or interest in financial services or cryptocurrency is advantageous
