Role Purpose

At Yarra Trams, our mission is to deliver world-class transport services to our passengers. In this role, you will contribute to this goal by

coordinating and support for transactional processing, reporting, procurement and document control services for the OCMS Program Coordination function and other OCMS cross-functional requests on the Planning and Reporting team.

Responsibilities

  • Collaborate with relevant stakeholders to receipt invoices and raise purchase orders in a timely and accurate manner.
  • Assemble the OCMS monthly reporting pack using Power BI reporting and analysis including following up critical areas of issues affecting the network with those responsible
  • Support and continuously improve the DTP retention claim submission process including evidence collection and follow-up with project managers on status updates and commentary.
  • Support the administration of transactional processing to capture and comply with all project and maintenance activities:
  • Report compliance to procurement and vendor management activities:
  • Report updates of purchase orders against the contract register.
  • Assist in the preparation of KPIs for the transactional processing function.
  • Support contract cost approvals by verifying against approved annual business plan budget
  • Ensure compliance by project managers to internal project governance processes (e.g. documentation practices and requirements, reporting deadlines, OCMS project governance framework, etc.)

Skills & Experience

  • Worked in a project management office (PMO) or department administration support role.
  • Demonstrated experience in administration / transactional support (e.g. receipting invoices and raising purchase orders).
  • Computer Skills – Effectively use Microsoft software and web applications: Outlook, Word, Excel (moderate to advanced) PowerPoint and SharePoint.
  • Verbal Communication – Explains concepts in an accessible manner and develops effective presentations, building rapport in working across functions and addressing underlying motivations and issues.
  • Awareness and commitment to quality management concepts.
  • Possess an understanding and awareness of OH&S and environmental issues in the workplace.
