Documentation and Fulfilment Supervisor

Surry Hills, New South Wales, Australia Viking Cruises Full time $60,000 - $90,000 per year

Viking is looking for a supervisor to ensure the timely and accurate delivery of all guest documentation and consumer marketing brochures across Australia and New Zealand. It is based in our Surry Hills office full-time, with no option to work remotely based on the nature of the role.

Responsibilities include but are not limited to:

Guest Documentation

  • Format all relevant Excel spreadsheets by product and international/domestic address
  • Print all guest embarkation tags and postal labels
  • Pack and fulfill all guest documentation
  • Book Auspost and couriers and manage all supporting liaison
  • Deal with all guest documentation queries and requests
  • Manage luggage tag and embarkation tag print roll stock levels with Head Office on a yearly basis

Brochure Fulfilment

  • Format all relevant Excel spreadsheets to ensure correct formatting of address
  • Weekly communication with NZ fulfilment house
  • Mail merge customised brochure letters
  • Print all letters and postal labels
  • Pack and fulfil all brochure requests
  • Book Auspost and manage all supporting liaison

Administration

  • Budget management including annual forecasting, monthly invoice processing and budget reconciliation
  • Manage all inventory in off-site storage units
  • Maintain adequate supply of all necessary consumables in office and manage delivery of all required stock to office
  • Manage ad-hoc fulfilment requests for trade and interstate staff equipment
  • Coordinate casual staff when required to cover peak periods or annual leave
  • Additional tasks as requested
