About the Role

We have an exciting opportunity for a part-time Drafting Office Support to join our team at RCK Design Pty Ltd in Bella Vista, NSW. In this role, you will provide essential administrative support to our busy building design office, playing a crucial part in the quality delivery of our projects. You will be the first friendly face our clients see when they visit our studio, and you'll have opportunities to work closely with our tight-knit team across many different areas of the business.

Role Description and Responsibilities

Your day-to-day tasks will vary, but could include:

  • General Admin: Managing emails and responding to enquiries, invoicing clients and chasing overdue payments, updating clients on project progress, scheduling appointments and sending calendar invites, and creating design brief files such as mood boards.
  • Personal Assistance: Managing the director's calendar and attending meetings to take minutes and notes.
  • Drafting Team Support: Preparing and maintaining scheduling software so the team stays on track with projects and tasks, maintaining the client database, applying to council for certificates or information requests, booking surveyors, and organising project folders.
  • Office Upkeep: Restocking supplies (tea, coffee, milk, stationery, etc.), refreshing water stations, keeping meeting rooms clean and set up, assisting with Christmas party planning, purchasing and wrapping gifts, maintaining tidy shelves and resource areas, and arranging uniforms or client/team gifts when required.
  • Social Media: Posting videos, images, and stories, responding to inbox messages, liaising with the social media film crew on upcoming shoots, and contributing ideas for future posts and campaigns.

What We're Looking For

  • Previous experience in an administrative or technical support role, preferably within a drafting or design-related environment
  • Strong organisational and time management skills, with the ability to prioritise and multi-task
  • Excellent attention to detail and a commitment to accuracy
  • Proficiency with standard office software and equipment
  • Exposure to CAD software and Canva (desirable)
  • Strong communication and interpersonal skills, with a collaborative team approach
  • A flexible, adaptable attitude with the willingness to take on a variety of tasks
