The Australian and New Zealand College of Anaesthetists (ANZCA) incorporating the Faculty of Pain Medicine, is an internationally recognised specialist medical education institution responsible for the training, examinations, specialist qualification, and continuing professional development of all anaesthetists and pain medicine specialists in Australia and New Zealand.

About the opportunity:

The Administration Officer - Examinations is responsible for providing administrative support to College examinations by ensuring timely delivery of administrative functions associated with the examinations.

Reporting to the Examination Coordinator – Primary Exam, this position undertakes administrative functions and provides a high level of customer service to candidates and external stakeholders in relation to college exams, the relevant subcommittees and is responsible for maintaining data within the relevant databases.

This position involves work outside of normal business hours in order to achieve deadlines, manage cyclical fluctuations and attend Committee meetings. Travel interstate to attend examinations and other events may also be required. Time in lieu is offered for out of hours work.

About the team:

The Training and Assessment Unit operates within the education and research department and delivers training support services. This unit supports the training program delivery for Anaesthesia, Diving and Hyperbaric medicine and the Rural Generalist Anaesthesia programs and facilitates the hospital site accreditation process for the college.

We are looking for someone who thrives in admin and problem solving, communicates clearly and confidently, knows their way around tech, and doesn't miss a thing when it comes to the finer details.

Specifically, you will have:

Essential:

  • Completion of post-school level qualification with relevant work-related experience or a certificate level qualification with post-certificate relevant work experience; or an equivalent combination of relevant experience and/or education/training.
  • Sound experience gained in an educational/academic environment in an administrative or clerical role.
  • Well-developed organisational and time management skills, the ability to work effectively under pressure, manage conflicting priorities and deliver to tight timeframes.
  • Meticulous attention to detail and high levels of accuracy.
  • Very good written and oral communication skills, including an effective telephone manner.
  • Strong interpersonal skills and an ability to liaise effectively with a range of professionals with a customer service orientation.
  • An ability to work effectively as a part of a team.
  • Well-developed planning and organising skills, including the ability to demonstrate initiative, effectively handle conflicting priorities, establish timeframes and meet deadlines.
  • High level PC skills:

  • Intermediate to advanced level: MS Word

  • Intermediate level: Outlook, Internet, Excel, Access
  • Aptitude to learn the in-house database system iMIS, EMS and TPS (Trainee Portfolio System)

  • Experience processing payments of expenses.

Desirable

  • Experience supporting highly complex assessments events would be highly regarded.
  • Experience in committee support role would be highly valued.
