We are currently seeking a Medical Receptionist / Administration Officer to join our expanding team.

About the Role

Reporting directly to the Practice Manager, you will play a crucial front-line role in ensuring the smooth and efficient day-to-day running of the clinic. You will be the first point of contact for patients, providing excellent service and professional administrative support to our team of specialists. In addition, you will be responsible for ensuring accurate and timely billing, contributing to the financial efficiency and integrity of the practice.

Key Responsibilities
  • Greet and assist patients in a warm, professional manner

  • Manage appointment scheduling and coordinate patient flow

  • Handle phone enquiries, referrals, and specialist correspondence

  • Process Medicare, private, and health fund billings

  • Maintain patient records and ensure confidentiality at all times

  • Provide administrative support as directed by the Practice Manager

  • Liaise with GPs, hospitals, and allied health providers

  • Assist with billing enquiries and act as a liaison for patients regarding account issues

  • Support the Practice Manager in maintaining accurate billing records and financial reporting

  • Prepare and submit hospital inpatient billing claims in a timely manner

  • Perform accurate data entry for billing and patient records

What We're Looking For
  • Prior experience in a medical receptionist or administration role (specialist setting preferred) will be well regarded

  • Strong computer skills, including experience with medical software (e.g., Genie, C2C, Xestro)

  • Excellent communication and interpersonal skills

  • Attention to detail and ability to multitask

  • Knowledge of medical terminology and Medicare billing processes

  • A professional, team-oriented, and proactive approach

  • A dependable team member able to work independently, take initiative, and ensure tasks are completed thoroughly
