About the role

A wonderful opportunity presents for an experienced Scheduling Administrator to become an integral member of our Scheduling team. Reporting to the Scheduling Manager, the successful candidate will be situated in our Truganina, Victoria Office. The Scheduling Administrator will provide support to the Planning & Scheduling departments to further streamline internal scheduling processes.

Duties to include, but not limited to:

· Logging of all current projects in Aconex, review communication and find relevant revisions for Schedulers

· Print programs and drawings as required

· Scan and upload marking plans to appropriate systems

· Arrange EDI's for all fabrication and Ancon threading

· Provide daily production updates

· Liaise with site contacts on designated projects

· Assist with casual scheduling of GA cut bend schedules

· Monitor large commercial projects, update and shift delivery dates to reflect current delivery lists

· Create credits for customers, confirm collection details and quantities with dispatch

· Contact site administrators and organise programs where not already available

· Arrange stationery, plotter paper, printer accessories and service orders as required

· Book couriers for delivery of drawings

· Inform scheduler and site team of back orders when details become available

· Generate and maintain Ancon priority list

· Organise galvanising purchase orders

· Data entry of schedules into relevant systems

· Provide support and backup to the scheduling team as required

Skills and Qualifications

· Year 12 or equivalent

· Proven experience in a similar admin or scheduling roles (desirable)

· Strong Organisational skills with a high level of attention to detail

· Effective time management and the ability to prioritise competing demands in a fast-paced environment

· Strong problem-solving skills with the ability to communicate solutions clearly and effectively

· Intermediate computer proficiency, particularly with Microsoft Office Suite (Excel, Word, Outlook)

· Ability to work collaboratively within a team while also operating independently when required
