Convergint is looking for a enthusiastic Service and Scheduling Coordinator to join our amazing culture. The Service and Scheduling Coordinator plays a key role in providing support to our business in Victoria.

What you'll do with "Our Training and Your Experience"

As the Service and Scheduling Coordinator, you'll provide administrative & operational support in relation to the scheduling and administration of the service and maintenance.

The role:

  • Receiving inbound service call and preventative maintenance requests from internal & external customers.
  • Creates and dispatches work orders for scheduling of planned maintenance and service-related cases.
  • Support in managing the technician calendar - including service dispatching, tracking and scheduling of works, status tracking, modifying existing sites and handling general enquiries regarding service department. Looks beyond the immediate problem to the wider implications.
  • Communicate with internal & external customers on status of technician attendance.
  • Co-ordinates with technicians as well as sub-contractors for the scheduling of planned maintenance and service-related cases.
  • Schedules and follows up on all monthly maintenance customer accounts this includes ensuring timely communication with contract customers, key customers and sub-contractors. Meets monthly to discuss expiring contracts and to review upcoming PM visits.
  • Monitors and follows up on subcontractor actions; processes purchase orders and approves invoicing

What You'll Need

  • 3 years previous customer service experience highly preferred
  • Previous experience in scheduling appointments in similar industry (security, engineering) highly regarded.
  • Strong knowledge of scheduling systems and processes.
  • Strong telephone and personal customer service skills and ability to work under pressure
  • Solid Microsoft Outlook, Excel, and Word skills
  • Solid organizational skills and the ability to handle multiple tasks simultaneously
  • Excellent attention to detail
  • Solid verbal, written and interpersonal communication skills
  • Solid ability to facilitate a collaborative working environment for customers and team members
  • Excellent communication skills – ability to prepare effective written communications.
  • Proactive, ability to work on own initiative.
