Court Services Victoria provides corporate services and facilities to support the performance of the judicial, quasi-judicial and administrative functions of Victoria's courts and tribunal, Judicial College and Judicial Commission.

Collectively, Victoria's Supreme, County, Magistrates', Children's, and Coroners courts, the Victorian Civil and Administrative Tribunal (VCAT), the Judicial College of Victoria, the Judicial Commission of Victoria, and Court Services Victoria (CSV) are referred to as the `Courts Group'.

The Supreme Court of Victoria is the highest court in Victoria and comprises the Court of Appeal and the Trial Division. The Court deals with major criminal and civil matters, plus appeals against decisions of lower courts.

Funds in Court (FIC) supports the Senior Master, who holds funds, investments, and assets, principally for people with a disability. FIC works to ensure the safe and effective investment of clients' funds at low cost, and to use funds in a manner that responds to clients' diverse needs and aspirations. FIC is a self-funded, not-for-profit division of the Court that also manages funds paid into Court.

About the Role

The Casual Administration Officer supports a critical function of Funds in Court as FICs' first point of contact for all document processing, which is received both physically and electronically. The Casual Administration Officer's responsibility is to process incoming documents, prioritise their importance, tag the record with relevant information, match it to the correct business area, and log the document into the FICs case management system for processing.

Duties and responsibilities include:

  • Providing FIC with timely and effective document processing through various designated channels, including email, physical mail, and phone. This includes the process of all incoming and outgoing documents.
  • Providing general administrative support for functions of the office (including but not limited to Mailing and Banking)
  • Ensuring that all documents, requests, and inquiries are logged into the designated service management tool with the required level of detail to meet key performance measures.
  • Ensuring that the distribution of documents is matched to the appropriate FIC business areas and staff for further processing.
  • Discussing problems and issues experienced whilst undertaking duties proactively with peers to determine the most appropriate solution and escalation path.

About You

  • Demonstrated experience providing administrative or operational support.
  • Having a valid and current drivers' licence would be highly regarded
  • Ability to deliver high-quality, professional, customer focussed, administrative services.
  • Ability to maintain a high-level of accuracy and confidentiality.
