About the Role:
As the Client Service Officer – Accounts Payable, you will be a vital touchpoint for our business, clients, and key stakeholders. Your primary focus will be managing super/investment and cashflow advice fee schedules, generating ongoing service agreement and fee consent documents, and ensuring timely, accurate data to support our client database and compliance. Your contributions will help maintain strong client relationships and support the seamless operation of our financial planning services.
Key Responsibilities:
- Deliver a positive, professional experience in all client and stakeholder communications via phone and email.
- Manage incoming/outgoing correspondence promptly in line with our Standard Operating Procedures.
- Support the Practice Manager with revenue reporting and identify process issues affecting business revenue.
- Maintain and update client data in Xeppo, Xplan, and internal share drives.
Investigate and resolve revenue related client enquiries and legislative requests efficiently.
Update client data related to fees and financial information in relevant systems.
- Provide advisors with documentation on non-renewed fees, dishonours, premium lapses, and missing transactions.
- Generate and monitor Opt In and OSA documents and ensure compliance with legislative timelines.
- Perform fee mapping on revenue systems such as Xeppo, CommsPay/Worksorted, and Business Register.
- Proactively investigate fee discrepancies and escalate issues appropriately.
About You:
- Experience in a Client Service Officer or Accounts Payable role.
- Exceptional communication skills with a client-first mindset.
- Highly organised with excellent attention to detail.
- Ability to manage multiple priorities and meet strict deadlines.
- Comfortable working both independently and collaboratively in a team environment.
- Strong understanding or willingness to learn financial planning processes and industry compliance requirements.
- Proactive problem-solver who takes initiative and follows through on tasks.
