- Proactive Communication: Consistently follows up with clients, suppliers, and team members to ensure no tasks are overlooked and all updates are captured.
- Efficient Job Scheduling: Coordinates and manages calendars, bookings, and job allocations with accuracy, ensuring resources and staff are used effectively.
- Organized & Detail-Oriented: Keeps track of deadlines, priorities, and progress, while quickly addressing any conflicts or changes in schedules.
Customer & Job Intake
- Inspections scheduled and confirmed by customer within same day of receiving the inquiry
- All jobs in management software with the details
- Ensure ALL inspections have proper docs
Quoting & Job Setup
- Prepare and issue quotes within Comapny policy and time frame of inspection completion.
- Track all pending quotes and follow up
- Maintain job queue accuracy
Invoicing & Payment Management
- Raise invoices
- Zero jobs completed without an invoice sent to customer
- Check for extras/variations before invoicing:
- Track invoices and follow up on the invoices. .
- Monitor accounts receivable and ensure payment follow-up is done promptly.
- Maintain a log of all outstanding payments, with a weekly summary provided to the owners.
Reporting & Compliance
- Escalate any customer disputes, variations, or non-standard requests to owners
- If you're not able to reach out to customer (landline, or customer not responding) inform the owners
