About the opportunity

The School of Project Management is seeking a highly skilled and proactive Executive Assistant and Project Officer to provide high-level professional executive support and assistance in managing the general day-to-day operational activity of the School. This role ensures streamlined processes, enabling the Head of School to focus on strategic objectives while maintaining the highest standards of professionalism and integrity.

As the first point of contact for the Head of School, the role requires exceptional organisational skills, discretion, and the ability to manage competing priorities in a fast-paced environment. You will be central to ensuring seamless coordination of critical tasks, projects, and communications, while also playing a key role in strengthening the School's visibility and reputation.

The successful candidate will possess the ability to exercise sound judgement, anticipate needs, and foster positive relationships across the University and with external stakeholders. This is a dynamic role that combines executive support, project management, and stakeholder engagement in equal measure.

  • proven ability to work independently and collaboratively, using initiative and sound judgement to resolve matters that arise in daily work
  • advanced proficiency in Microsoft Office Suite, with extensive experience in complex diary and calendar management, travel coordination, and meeting scheduling
  • strong administrative, analytical, and problem-solving skills, with a working knowledge of project lifecycles, documentation, and methodologies
  • excellent time management and organisational skills, with the ability to prioritise tasks, manage competing deadlines, and deliver high-quality outcomes in a high-volume environment
  • well-developed negotiation, conflict resolution, and influencing skills, with the ability to build and maintain effective working relationships
  • outstanding verbal and written communication skills, with a demonstrated ability to manage a wide range of enquiries and deliver exceptional client service
  • commitment to maintaining confidentiality, exercising professional judgement, and upholding integrity in all interactions
  • ability to support project delivery by gathering and analysing project data, tracking progress and budgets, preparing reports, and coordinating project-related meetings and activities
  • experience contributing to communications and digital engagement initiatives, including preparing and scheduling social media content and coordinating online communications
  • commitment to continuous improvement and professional development, with a focus on enhancing administrative systems, practices, and service delivery.
