About us:
Birchtree Centre is one of Australia's largest private therapy practices, with over 55 clinicians working across our Forest Lodge (Glebe) and Pymble practices, offering therapeutic support to adolescents and adults.We provide a safe space for survivors of complex trauma, addiction and eating disorders to access treatment, through individual and group therapy. In addition, we provide trauma-sensitive yoga, art therapy, and other supportive adjunct therapies. We offer clinical supervision to clinicians, clinical placements to students, and a clinical psychology registrar program – helping shape the next generation of trauma-informed specialists.
Birchtree Centre was founded in 2015 by clinical psychologists, Dr Sophie Reid and Jace Cannon-Brookes, two of Australia's leading experts in the treatment of complex trauma and related mental health challenges. Sophie and Jace believe that mental health is a fundamental human right and those living with complex trauma deserve better care.

About the Role:
We are looking for an experienced Practice Manager to join Birchtree's Executive leadership team.
The purpose of this role is to ensure the effective day-to-day running of Birchtree Centre, provide support to the Directors and clinicians, and ensure the continuous improvement and development of the Centre's systems and processes. You will be working from a trauma-informed perspective and will have multiple opportunities to attend trauma trainings and professional development workshops throughout your employment.
This is a full-time on-site role, with flexibility to reduce to 0.8EFT spread over 5 days if needed for care duties. In recognition of the front-facing nature of this work, you will be entitled to 5 weeks' paid leave. This role is based in the Forest Lodge (Glebe) centre and will also be required to go to our Pymble weekly (parking provided on both sites).
This role includes but is not limited to the following responsibilities:
· Leadership of the admin support team (2-4 FTE) and student intern management
· Financial management of the practice through Xero, including budget preparation / monitoring, invoicing and bank reconciliation (assisted by Bookkeepers and accountants).
· Facilities and Office Management – stock take and ordering, scheduling maintenance and repairs, distributing mail and faxes.
· Intake and Triage management –overseeing and ensuring the smooth process of liaising with new clients, understanding clients' needs and matching them with an appropriate Birchtree clinician after triage.
· Client confidentiality and waitlist management
· Event and training management – organising training workshops and social events, planning dates, booking venues, coordinating attendees.
· Provide HR administration to clinicians – onboarding and offboarding, troubleshooting admin support.
· Maintain and develop Birchtree's policies and procedures.
· Management and upkeep of Birchtree's website and social media platforms.
· Maintain good relationships with external services and professionals for consistent referral and recruitment pathways (e.g. GPs, Psychiatrists, Universities).
· Organising and managing the groups at Birchtree – recruiting facilitators, setting dates, liaising with attendees, ensuring payments are made before group commencement.
Essential Criteria:
· Strong business management acumen
· Excellent communication skills
· Strong skills in Microsoft 365 Suite – Teams, Outlook, SharePoint, One Drive, Word, PowerPoint, Excel.
· Experience with Xero or other accounting software.
· Highly organised and task orientated
· Self-directed and accountable
· Warm interpersonal skills
· Robust and able to work in a mental health setting, exposed to distressing content.
· WWCC and Police criminal history check
Desirable Criteria:
· Experience or qualifications in social sciences is desired.
· Knowledge and experience of Halaxy health management software.
· Your own vehicle to assist with travelling between centres.
Expected commencement: October 2025

Salary: Range 90,000 – 110,000 Plus GST
