Trust Accountant – Property Management | Southeast Melbourne

Are you a meticulous Trust Accountant with a passion for precision and process? Join a prestigious property management organisation located in southeast Melbourne, renowned for excellence and innovation in property management.

We are seeking a Trust Accountant to take ownership of all trust accounting functions, tenancy reporting, and compliance obligations. This is a hands-on, high-trust role with real impact – your accuracy and attention to detail will directly support our operations and uphold our reputation with clients and stakeholders.

Key Responsibilities

  • Trust Accounting

  • Daily reconciliation of trust accounts.

  • Receipting, banking, supplier payments, and owner disbursements.
  • Sales trust processing, including deposit management.
  • End-of-month trust processes and reporting.
  • Security deposit and bond management.

  • Tenancy Accounting & Reporting

  • Preparation of monthly rent invoices and standing charges.

  • Entry and review of outgoing invoices with supporting documentation.
  • Gross lease management, annual reviews, and wash-ups.
  • Tenancy account setups and terminations.
  • Budgeted outgoings management, including annual reviews and wash-ups.
  • Estimated outgoings for vacant premises.

  • Compliance & Communication

  • Arrears management, including penalty interest and breach notices.

  • Payment plan creation with compounding interest.
  • Respond to and resolve tenant invoice queries and disputes.
  • Maintain accurate tenant card records in Cirrus8.
  • Manage tenant option dates and renewals as required.
  • All tenant correspondence to be logged appropriately.

Requirements

  • Minimum 2 years' experience in trust accounting, bookkeeping, or accounts.
  • Previous experience in sales and rental trust accounting highly regarded.
  • Proficiency in Cirrus8 Property Software (preferred).
  • Solid understanding of lease agreements, rent and outgoings, and budget processes.
  • Confident in responding to tenant invoice queries and resolving disputes.
  • High attention to detail, accuracy, and ability to manage competing deadlines.
  • Strong communication skills and ability to work independently.
