SPS Property Services is seeking a highly organised and proactive dispatch & scheduling coordinator to join our team. This role is essential to ensuring smooth daily operations by efficiently scheduling and dispatching jobs to our team of service technicians. The ideal candidate will possess excellent problem-solving skills, a keen eye for detail, and the ability to prioritise and adapt to changing priorities in a fast-paced environment.

Key Responsibilities:

  • Job Scheduling & Dispatch: Coordinate daily schedules for plumbing and roofing. Previous experience highly desirable
  • Priority Management: Prioritise urgent jobs as they come in, rearranging schedules as needed to ensure timely service for emergency calls.
  • Communication & Coordination: Act as the central point of communication between technicians, clients, and the office team, keeping all parties informed of schedule updates and ensuring smooth workflow.
  • Problem Solving & Forward Planning: Proactively address scheduling conflicts, delays, or unexpected changes, and anticipate potential issues by thinking ahead to maintain seamless operations.
  • Efficiency Improvement: Continuously look for ways to improve scheduling processes and reduce downtime between jobs to enhance operational efficiency.

Requirements:

  • Organisational Skills: Exceptional ability to organise and manage multiple tasks, keeping track of job schedules, priorities, and technician availability.
  • Problem Solving: Strong analytical and problem-solving skills, with the ability to think on your feet and make quick adjustments when necessary.
  • Attention to Detail: Precision in managing schedules, inputting data, and communicating instructions to ensure all details are correct and up to date.
  • Adaptability: Capable of adapting to last-minute changes and handling the dynamic nature of the role with ease.
  • Communication: Excellent verbal and written communication skills, able to convey information clearly to both technicians and clients.
  • Technology Proficiency: Comfortable with dispatching software, scheduling tools, and basic office applications.
  • Experience in the trades field is highly desirable (Plumbing and Roofing)
  • Minimum 1 years experience as a dispatcher in previous roles

We currently have a great support system in our office (5 people) in total. An assistant will be provided to our dispatcher for day to day requirements which will enable you to complete your workload efficiently.  You will be working side by side with our senior plumbers/roofers to also assist you with the day to day dispatching. We have our operations manager who also has extensive experience in the reactive space also.

We also have a senior plumber with extensive experience who also has experience in scheduling to assist with the day to day demands and requirements.

We work with Strata/ Facilities and COD clients all across Sydney.

The person will be provided with extensive training with our current dispatcher working side by side with her until she relocates interstate.

We have a team of approx. 25 staff members. Where you start will not dictate where you finish. We really are about long term working relationships with our staff members and pride ourselves on being understanding and ensuring we have set up a great working environment for our staff members.
