Role Overview:

The role is fulltime, on-site at our Head Office in Campsie, and is primarily responsible for coordinating general administration duties, scheduling the daily operations of the Maintenance plumber's activities, processing accounts payable/receivable, data entry in various Microsoft applications, invoices, and job data, as well as, answering phone calls and liaising with various internal and external stakeholders

Key Responsibilities:

  • Manage, coordinate and schedule daily works using AroFlo ERP software
  • Coordinate plumbers daily schedule, process timesheets, communicate with clients, manage calendars, and ensure smooth day-to-day operations
  • Managing customer communication, service follow-ups, and job progress
  • Manage contracts, invoicing, emails, and job documentation/compliances
  • Assist with accounts payable and receivable
  • Work closely with the GM FM and team to streamline processes and improve efficiency
  • Managing last-minute changes/urgent scheduling needs in a professional manner
  • Send advices on timely updates, confirmations, and reminders to clients.
  • Manage new customer profiles (emails/phone call. etc.)

We are looking for:

  • Confident communicator with strong organisational and interpersonal skills, with a customer-centric approach.
  • General understanding of plumbing systems, equipment, and materials.
  • Proficiency in AroFlo (ERP) & competent IT skills
  • Experience in service-based scheduling or coordination
  • Comfortable working with tradespeople and customers alike
  • Positive attitude, team player, and a natural problem-solver
  • Having a 'can-do' attitude
  • Clear and professional communication skills — written and verbal
  • Confident using Microsoft Outlook, Excel, and Word
  • Ability to liaise with other vendors & contractors when required
