Customer Service & Administration Representative - Full Time

Workforce Extensions Geelong is currently recruiting on behalf of a long-term, highly valued and family-owned business that has built a strong reputation for delivering dependable services across a range of industries. As the business continues to grow, they are seeking a Customer Service & Administration Representative to support clients and assist with the day-to-day running of the office.

About the Role

This is a blended role combining customer service with administrative responsibilities. You will be the first point of contact for clients while ensuring smooth and efficient office operations.

Key Responsibilities:

Customer Service & Client Support

  • Respond to customer enquiries, providing accurate service information
  • Process and manage customer orders to ensure timely completion
  • Build and maintain strong client relationships
  • Coordinate with internal teams to meet customer requirements
  • Prepare quotes, invoices, and other relevant documentation

Office & Administration Duties

  • Perform general administrative tasks such as data entry, filing, and record-keeping
  • Process and approve purchase orders accurately
  • Liaise with suppliers to confirm stock availability and manage order follow-ups
  • Verify and reconcile invoices against purchase orders
  • Monitor and maintain office supplies inventory

What We're Looking For

  • Strong customer service skills with a client-focused approach
  • Excellent communication (verbal and written) and problem-solving abilities
  • Ability to multitask and stay organised in a fast-paced environment
  • Proactive and able to work independently or as part of a team
  • Proficient in Microsoft Office and general computer systems
  • Prior experience in customer service or administration is advantageous
  • Reliable, punctual, and detail-oriented
