This position reports to the Operations Manager and has delegation from the Operations and Program Support Officer.

We are looking for a proactive and detail-driven Administrative Assistant to become an integral part of our team at Eating Disorders Queensland (EDQ). In this role, you'll be the first point of contact for clients, ensuring a warm and professional welcome, while managing essential administrative tasks that keep our organisation thriving.
Your strong organisational skills, exceptional communication abilities, and client -focused mindset will help you deliver outstanding support to both our team and the individuals we serve. About Eating Disorders Queensland (EDQ)
EDQ is a state-wide, community-based not-for-profit organisation delivering compassionate, evidence informed, and client-centred services for individuals experiencing eating disorders, as well as their carers and key support people. Our multidisciplinary team offers therapeutic and psychosocial supports, carer and lived experience peer support, and early intervention education initiatives across Queensland. Key Responsibilities
- Client and Stakeholder Engagement: Being the first point of contact, I greet clients, visitors, and stakeholders in an inclusive and professional manner.
- Provide clients and stakeholders with clear and accurate information regarding the services and programs offered at EDQ.
- Assist clients with check-in processes, paperwork and client payments.
- Communications Management: Handle incoming and outgoing communications, including phone calls, emails, and mail.
- Respond to general enquiries and direct communications to the appropriate staff members.
- Office Administration: Maintain office records, including filing and document management, adhering to confidentiality and organisational policies.
- Entering basic client data into the client management system.
- Order supplies, including office supplies and food for groups.
- Organising the servicing of equipment and preparing the cleaning rosters.
- Ensuring an organised and efficient workspace.
- Set up the office in the morning, including turning on lights, diffusers, music, and air conditioning as required.
- Turn off lights, equipment, and secure the office at the end of the day.
- Event and Meeting Coordination: Assist in scheduling and managing event bookings and meetings, including travel arrangements, equipment setup and food ordering.
- Provide support on special projects as required and support to the CEO.

Key Selection Criteria
- Relevant qualifications in administrative support.
- Experience in similar roles, particularly in not-for-profit or allied health settings.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to adapt in a fast-paced, dynamic environment.
- Strong time and task management skills.
- Collaborative work style with strong support skills.
- Effective communication fosters transparency and kindness.
- Experience working with Medicare payments is highly desirable
- Exceptional interpersonal skills and emotional intelligence
