About the Role

They are currently seeking a confident, proactive, and polished professional who can seamlessly provide high-level executive and secretarial support. Based primarily in The Hills District, with some travel to the Sydney CBD, this role is perfect for someone who thrives in a fast-paced, entrepreneurial environment and is ready to build a long-term, trusted partnership. This is more than just a support role; it's about becoming a true right hand, building rapport and helping drive business success from behind the scenes.

Responsibilities

  • Act as a trusted gatekeeper and ambassador for the Entrepreneur
  • Translate Entrepreneurs goals and ideas into structured tasks, timelines and workflows
  • Complex diary and calendar management, ensuring priorities are aligned and time is optimised
  • Inbox and communications management, drafting correspondence on behalf of the Entrepreneur
  • Scheduling and coordinating meetings and events
  • Preparation and formatting of documents, reports, presentations, agenda and reports
  • Following up on action items and deliverables
  • Planning and coordination of domestic and international travel including itineraries and logistics
  • Managing confidential and time sensitive information with discretion
  • Liaising with internal Senior Executive teams, stakeholder and external partners
  • Managing expenses, reconciliations and financial administration duties
  • Implement systems and processes to optimise efficiency and streamline daily operations

About You

  • Discretion, integrity and the ability to handle confidential information
  • Outstanding written and verbal communication skills; clear, concise and diplomatic in all interactions
  • Emotionally intelligent, with strong interpersonal skills
  • Exceptional organisational skills with attention to detail and ability to bring clarity to moving parts
  • Resilient with the ability to remain calm under pressure
  • A flexible, can-do attitude and proactive problem-solving mindset
  • Tech-savvy with proficiency in MS Office and digital tools
  • Ability to anticipate needs, work autonomously and manage competing priorities

Requirements

  • Proven experience supporting a C-Suite Executive, Entrepreneur or high-profile individual
  • Commercially aware, sharp across diverse industries
  • Willingness to work primarily out of The Hills Districts premises with the occasional Sydney CBD days
  • Flexible to work early mornings and evenings with the occasional Saturday's
  • Ability to participate in domestic and international travel, when required
  • Passionate, loyal and committed to the success of the Entrepreneur
