Executive Assistant

Premium Strata is seeking a highly organised and proactive Executive Assistant and Personal Assistant to support our Chief Executive Officer.
This role is ideal for someone who thrives in a fast-paced and dynamic environment, has strong communication and coordination skills, and enjoys balancing executive support with hands-on operational and administration responsibilities.
As a key member of our team, you'll ensure the CEO is prepared and informed for all priorities by handling high-level correspondence, diary management, and research tasks.
You'll also provide personal assistance on private matters and help oversee team members who report directly to the CEO.
Key Responsibilities
Executive and Personal Support
- Manage CEO's diary, correspondence, and high-level communication
- Research and prepare briefings, reports, and meeting documents
- Schedule and coordinate executive and client meetings
- Assist management with strategic projects and company-wide initiatives
- Handle confidential and sensitive information with discretion
- Organise both business and personal appointments for the CEO
- Manage personal projects on behalf of the CEO
Client Support & Business Development
- Act as the first point of contact for new client enquiries and qualify leads
- Coordinate initial calls and site inspections for the CEO
- Prepare proposals and support the onboarding of new managements
- Respond to customer queries and escalate issues where required
Other tasks
- Prepare team meetings, town hall presentations and training materials
- Develop and format training documents, webinars and PowerPoint presentations
- Assist with the implementation of new processes and procedures as directed by the CEO
- Support corporate events, sponsorships and functions involving the CEO
What We're Looking For
- Minimum 5 years' experience as an EA or PA, ideally supporting senior or executive-level leaders
- Proven experience supporting executives and/or coordinating complex projects
- Excellent communication skills: written, verbal, and interpersonal
- Strong organisational and time management abilities, with exceptional attention to detail
- Confident handling competing priorities and deadlines
- Tech-savvy with software knowledge
- Professional, proactive, discreet, and solution-focused
- Knowledge of Strata Community Management and/ or Real estate or similar will be highly valued.
