Position Overview

Were seeking a Settlement Support Officer & Admin Assistant to join our team in a full-time role. The successful candidate will work closely with our brokers to manage the settlement process and provide day-to-day administrative support. This is a phone-based, client-facing role that requires strong communication skills, a sense of urgency, and a focus on accuracy and compliance.

Key Responsibilities

  • Proactively call and follow up with clients, lenders, insurers, and suppliers to gather outstanding documentation
  • Liaise with lenders to confirm settlement conditions, coordinate invoices, and request payout letters
  • Prepare and lodge compliance documents, settlement packs, and lender-specific forms
  • Review approval letters and assist brokers in identifying settlement conditions to be satisfied
  • Track and manage the settlement pipeline to ensure deals progress on time
  • Coordinate client insurance policies and liaise with insurance providers as required
  • Accurately input and maintain data across CRM and lender portals
  • Conduct credit checks, bank statement retrievals, and ID verifications
  • Provide administrative support including meeting preparation, file management, and post-settlement follow-up
  • Maintain compliance with AML/CTF and responsible lending policies

Requirements:

  • Permanent Resident of Australia
  • Prior experience in
    asset finance
    ,
    mortgage broking
    , or
    commercial lending
    preferred
  • Excellent verbal communication and phone etiquette
  • High attention to detail when reviewing documents and meeting lender conditions
  • Ability to
    multitask and prioritise
    in a fast-paced, high-volume environment
  • Proficiency in Microsoft Office & CRM systems (Hubspot, Salesforce, Mercury or similar is highly regarded)
  • A proactive, can-do attitude and team-oriented mindset
